Setting Up a Client in XPM and Xero Tax
This article outlines the process for setting up a client in Xero Practice Manager (XPM) and preparing them for lodgement in Xero Tax
Part 1: Creating a Client in XPM
Step 1: Add a New Client
-
Go to Clients in XPM
-
Click Add Client
-
Select the appropriate Business Structure (e.g., Individual, Company, Trust) - note that the sync to Xero Tax will not work without this selected.
Step 2: Enter Client, Business & Tax Details
Complete the following fields:
-
Client details:
- Complete as many fields as possible
- Ensure the email address is accurate
- For Partner: Daniel van der Heyden
- For Manager: Enter your own name
- Client Verification: This needs to be completed and details entered at the time of client creation - view ATO guidelines here
-
Business details (see screenshot below):
- Business structure must be selected
- An ABN is not necessary for individuals (who aren't sole traders)
- With the ABN, the branch number needs to be correct. This comes from the activity statement account in the ATO portal (online services for agents)
- The balance date needs to be complete (typically 30 June)
- Tax Details (see screenshots below):
- "Prepare Activity Statement" or "Prepare Tax Form" must be ticked to ensure a seamless sync with Xero Tax
- Set up bank account information at the point of client creation (if possible)
Step 4: Save the Client
Step 5: Xero Tax Sync
-
If the above steps are followed / all mandatory information is entered, the client will automatically sync to Xero Tax
💡 Important: The client must exist in XPM first — do not create directly in Xero Tax.
Part 2: Setting Up the Client in Xero Tax
Step 1: Locate the Client
-
Open Xero Tax
-
Search for the client by name
-
Confirm details have synced correctly, and the relevant returns are available for selection
- Configure all relevant tax settings
